Booking Terms and Conditions
1.Our Details
Your Contract will be with Nuclear Essex (trading name for Nuclear Races Ltd), of Ongar Road, Kelvedon Hatch, Brentwood, Essex. CM15 0LB (“we”, “us“ or “ours”).

2.Your Contract With Us
The following T&Cs, together with any information that we send to you, form the basis of your Contract with us. In these T&Cs, “you” and “your” means the lead name (the authorized representative for the booking) and all persons named on the booking.
The lead name shall be responsible for:
- The full payment of all fees and charges.
- The payment of any amendment fees or cancellation charges.
- Passing on all information issued by us to all persons in the booking.
- The conduct of all persons in the booking (see Clauses 13, 14, and 15).
In making a booking, you are regarded as having read, understood, and agreed to these T&Cs.
3.Making A Booking
Your booking is confirmed and a Contract between us exists when we issue a booking confirmation to you.
Individual/Small Group Bookings: For most bookings, payment in full is required at the time of making your booking via debit or credit card. Please note: The Bunker is not a pre-bookable activity and therefore does not have specific booking terms.
Booking Errors: Please check your confirmation carefully and advise us immediately of any incorrect or incomplete information. If full payment is not paid on time, we reserve the right to cancel your booking and retain any payments made.
4.Group Bookings, Deposits, and Final Payment
| 4.1. | Group Booking Payments. For educational and large group bookings where a deposit has been accepted, the remaining balance of the full payment is due no later than **two (2) weeks (14 days)** prior to the scheduled activity or event date. |
| 4.2. | Final Participant Numbers. The participant numbers confirmed at the 14-day final payment deadline will be the minimum number charged. No refunds or price reductions will be made for any decrease in participant numbers after this point. Reserved participant numbers that do not attend will be charged in full. |
| 4.3. | Adding Participants. Additional participants may be added to a group booking after the final payment date, subject to availability. Any increase in the booking size must be paid for immediately by credit or debit card at the time the adjustment is confirmed. |
5.If You Cancel Your Booking
| 5.1. | Cancellation Charges (Individual Activities: Nuclear Adventures, Nuclear Wild Forest). If a member cancels their booking:

| 5.2. | Cancellation Charges (Nuclear Races, Nuclear Fit and Nuclear Mud Tribe). Event bookings are generally non-refundable. If you cancel within a statutory cooling-off period, a refund may be provided subject to the deduction of any non-refundable fees (e.g., booking fees or administration fees). | ||||||
| 5.3. | Transfer to Substitute Member. Payments for race events made may be transferred to a substitute member up to 48hrs before your event. We reserve the right to charge an administration fee of £15 for this transfer, plus any direct costs incurred. |
6.If You Change Your Booking
| If you wish to change your booking in any way after confirmation has been issued (e.g., date, time, or name), any request for changes must be made in writing by the lead name. | |
| 6.1. | Rescheduling Activities (Nuclear Adventures, Nuclear Wild Forest). You may reschedule your booking once, free of charge, up to forty-eight (48) hours prior to your original session start time, subject to availability. Changes made outside this window may be treated as a cancellation (see Clause 5). |
| 6.2. | Race Changes. Changes to participant name, email address, or start wave for Nuclear Events must be completed in accordance with the process outlined in your confirmation email or on the event website. An administration charge of £15 will be charged for making any change, in addition to any costs incurred by us. |
7.If We Are Forced To Make A Change To Or Cancel The Booking
We reserve the right to make changes to or cancel your booking at any time. Most changes will be minor and will be advised at the earliest possible date. If we make a major change to your booking, we will inform you as soon as reasonably possible and will offer you a suitable alternative booking.
We will not be liable for any loss, damage, costs, or other expenses you may incur as a result of your booking being changed or cancelled, including any other arrangements you have made with other providers under separate Contracts.
8.Unavoidable And Extraordinary Circumstances
Except where otherwise expressly stated, we will not be liable for any damage, loss, costs, or other expenses incurred by you as a result of Unavoidable and Extraordinary Circumstances (Force Majeure Events). Force Majeure Events include, without limitation, war, civil unrest, terrorist activity, infectious disease, epidemics and pandemics, government measures to combat such outbreaks, unforeseeable technical problems, fire, flood, adverse weather conditions, natural or nuclear disaster, and all similar events outside our control.
Weather Policy: Activities are all-weather events and will proceed in rain, light snow, and moderate winds. If an activity is stopped after it has commenced due to a Force Majeure Event (e.g., thunder and lightning), you will not be entitled to a full or partial refund. (See Clauses 7)
9.Our Liability To You

Limitation. We will not be liable or pay you compensation for any injury, illness, death, loss (e.g., loss of possessions or loss of enjoyment), damage, expense, cost, or other claim of any nature that results from:
Circumstances beyond our control.

| 9.2. | Maximum Liability. If we are found liable to you on any basis, we limit the amount we have to pay you to a maximum of the cost of your booking. This limit does not apply to cases involving death or personal injury caused by our negligence. |
| 9.3. | Personal Property. Any claim for loss of or damage to any luggage or personal possessions (including money) must be made to your travel insurers in the first instance. We accept no responsibility for vehicles and their contents left in the car park, which is at the owner’s risk. |
10.Behaviour
We expect all guests to have consideration for other people and staff. If, in our reasonable opinion, you or any member of your party behaves in such a way as to cause or be likely to cause danger, upset, or distress to any third party, or damage to property, we are entitled, without prior notice, to terminate the booking.
Property Damage: If you cause damage to the site or accommodation, you must fully reimburse the cost of the damage before the end of your stay or as soon as the cost has been established. You must also indemnify us for the full amount of any claim made against us as a result.
11.Supervision
| The lead name and the other adults accompanying the group shall, at all times, ensure that the group is adequately supervised. | |
| 11.1. | Nuclear Adventures & Nuclear Races. For all participants under the age of 16, continuous adult supervision is required, the accompanying adult (18+) must remain on site at all times. |
| 11.2. | Nuclear Wild Forest Activities. Supervision requirements for Nuclear Wild Forest are determined by the specific instructor-led activity or session booked. The required adult-to-child ratio will be provided in your booking confirmation. |
12.Additional Requirements
| 12.1 | Health and Fitness. If members of your booking have additional requirements as a result of reduced mobility, a disability must be provided at the time of booking. All participants must be reasonably fit and healthy. You must inform the Company of any existing medical condition, including pregnancy, that may affect your or others’ participation before booking. |

| 12.2 | Waivers and Disclaimers. All necessary waivers, consent forms, and disclaimers must be completed in advance of your event or activity. These forms must be completed by an adult (18+) on their own behalf or on behalf of any minor in their care. Failure to complete all required documentation in advance may result in the cancellation of your booking without notice, and no refund will be provided. |
| 12.3 | Clothing and Equipment. You must wear appropriate clothing as detailed in the activity guidance. Safety equipment must be worn as supplied and fitted by the Company. Personal equipment is not permitted for use on any activity. |
13.Complaints
If you have a problem with any aspect of your booking, please inform the Manager or a member of staff immediately so that we can endeavour to rectify the situation at the time. If your complaint is not resolved locally, you must follow this up within 28 days of your course end date by writing to us, giving your booking reference and all other relevant information. If you fail to follow this simple procedure, we will have been deprived of the opportunity to investigate and rectify your complaint whilst you were on site, which may affect your rights under this Contract.
14.Data Protection
We will collect and process personal data provided by you (such as name, address, age, and health information) during the booking and registration process to maximize your enjoyment and ensure your safety during the activity or event. We will process your data in accordance with our Privacy Policy, which is available on our website.
15.Photography
We regularly take photographs and videos for both promotional and training purposes. By booking with us, and unless you tell us otherwise, you consent to us taking and using any such photographs or videos without charge. If you do not want to appear in any photographs and/or videos, you must inform us in writing prior to your arrival or inform the staff on site.
16.Variation
These T&Cs may be varied by us at any time and at our sole discretion. Any new T&Cs will be published on our website and will have immediate effect. If any of these T&Cs are determined to be illegal, invalid, or otherwise unenforceable by any court, the remaining terms shall remain in full force and effect.
17.Law and Jurisdiction
Your booking is governed by English Law, and the jurisdiction of the English Courts.
